Crew Administrator - Job FunctionPosition Location: Kissimmee
airport (hybrid assignment) combination of remote and office,
as
needed.The Crew Administrator position is responsible for the
day-to-day management of the crew administration tasks as they
relate to the welcoming, (On-Boarding) and the farewell ()
processes in which any Crew is involved. - Documentation,
terminations, as well as to provide support to the VP Operations,
CEO, CXO, Director of Operations, Director of Training and HR
Manager in all areas related to crew administration.This role will
report to the VP Operations, and Director of Operations and will
collaborate with the CEO, CXO, HR Manager and will support key
management personnel such as the Director of Training and others as
assigned. This position is responsible for two main scopes of work
as part of the Human Resources Department:A-) - -The entire
welcoming (On-Boarding) and farewell (Off-Boarding) processes The
Crew Administrator is responsible for the well-being and comfort of
the Crewmember's prior, during, and after both these processes have
been completed, including proper documentation preparation and/or
request of Air transportation tickets, hotel accommodation, be it
as a normal and scheduled process or based on an emergency,
compassionate, maternity, or medical leave, etc.B-) - -Maintenance
of accurate records, monitoring, and documentation of Crewmember's
information and reporting to the VP Operations and HR Manager when
deemed relevant to oversee expiration dates of Contracts, Type
Ratings, Pilot's Licenses, Preemployment Physicals (in conjunction
with the Medical Department), or any other current of future
documentation required, etc.Responsibilities include (but are not
limited to):
Propagate and enforce professional
hiring policies and practicesManage and monitor crew improvement
plansWork with the CEO and CXO to measure corporate culture and
reduce pilot turnoverAct as DER for the Company's Drug and Alcohol
ProgramPilot Records Improvement Act (PRIA) and Pilot Records
Database (PRD) background check data processing. - Basic Record
Keeping (Pilot, PRIA, D&A, Basic Pilot Info, Schedaero Basic
Profiles)Processing of new pilot hires, onboarding and terminated
pilots offboarding.Verifies all required boarding documents and
employment contracts or LOE's, Passports, Visas, Licenses and
Certificates, and expiration dates.Maintains all crew documentation
Meets in person with graduating
pilot's classes to welcome them, distribute assets, explain
employee manual, and answer questions.Track and process pilot's
employment agreement changes such as COLA, retention bonuses, and
promotional events.Equipment Inventory issue and control property
and equipment (iPads, Laptops, Uniforms, Business Cards, I.D.
Badges, and keys)Coordinate a procedure to obtain or take photos of
new classes and individuals to be used for company badgesAssist the
Training Department during the week of training by arranging
catering, meal delivery, reservations, lodging, transportation, and
purchasing aircraft essential and non-essential
suppliesCoordination with REGIS HR on company policy
acknowledgments from new hire crewCrew Per Diem tracking and report
processingTrack and process crew out-of-pocket expensesRetrieve
Off-Boarded crew's company assets (iPads, Laptops uniforms, I.D.
cards, Keys) and materials. Office Manager duties to include: -
Manage record keeping and
filing-prepare, organize, and store information in paper and
digital formMeeting Assistance, Schedule appointments and manage
calendarsMail Receiving and sendingMaintaining office
suppliesCreating and issuing I.D. BadgesAssist with crews "Air &
ground transportation and Hotel" requests.All other duties as
assigned -Qualifications. /Education/Experience:
Positive attitudeHighest level of
integrity and trustworthiness and ConfidentialityDatabase
management skills Able to read and interpret basic company
guidelines and policiesGood verbal and written communication skills
and ability to work with the executive team Organizational,
administrative skills and attention to detail.Prior knowledge of
the Pilot Record Improvement Act (PRIA) and the Air Carrier Drug
and Alcohol Program requirements.Associate degree preferred, at
least 1 year of administrative and clerical experience, or 3 years
equivalent combination of education and experienceProficient in
Microsoft Office, Office Suite, primarily Word, Excel, Teams,
SharePoint, OutlookAbility to maintain confidentiality pertaining
to sensitive employee-related informationAble to read, type, and
complete documents in the English Language and meet ICAO Level Four
English fluency requirementsMust be able to pass a background check
and pre-employment drug test.Position (hybrid assignment)
