Job Description:

Adventures by Disney and National Geographic Expeditions offer immersive, guided travel experiences for families, friends, individuals, and couples to explore the world's greatest destinations.The Trip Manager will be a member of the Adventures by Disney & National Geographic Expedition Operations Land and Cruise team and help manage an assigned portfolio of programs which may include Group Trips, Expedition and River Cruises, Private Adventures and Expeditions, and Custom Expeditions. You will assist and support the Destination Manager in operating programs, assist On-Trip Staff in destination, prepare and distribute trip-related documents, work in SAP to request invoice payment and purchase orders and a variety of staff-related responsibilities including gratuity reporting and processing expenses in Concur.You will be asked to effectively interact and communicate with On-Trip Staff, Guests, Contact Center Team, and suppliers, both written and verbally. Relationships with On-Trip Staff and Suppliers must be created, nurtured, and maintained.The Trip Manager maintains product quality and standards as set forth by the Company. Partnering with other departments within the company, such as Trip Development, Legal, Marketing and Finance, is essential.Occasional domestic and/or international travel may be required for this position depending on business needs.You will report to the Destination ManagerResponsibilities

  • Work with Destination Managers and On-Trip Staff by providing daily partnership.
  • Work with and maintain relationships with global in-country operators. Coordinate with local operators regarding bookings, logistics coordination, extra arrangements, special considerations, trip details, etc., for an assigned group of itineraries to ensure seamless operation of trips. Communicate clearly and accurately all trip logistics and needs by email, teleconferencing and phone. Provide suppliers with needed reports on deadline, including Guest counts, rooming lists and special requests. Conduct briefing calls with operators and hold them accountable for implementation of on-the-ground logistics.
  • Be a proctor for On-Trip Staff trip expenses and hours worked on weekly basis in SAP.
  • Coach and mentor On-Trip Staff.
    • Prepare all documents and items necessary for On-Trip Staff, tour and itinerary logistic notes, transfer and rooming lists, flight manifests, extra arrangement details and traveler preferences. Book travel for staff as needed.
    • Create annual purchase orders in SAP for suppliers.
    • Review invoices for accuracy; provide feedback to Destination Managers; request invoice payment in SAP.
    • Read and understand contracts and help prepare/redline/edit/proof documents.
    • Prepare, compile and distribute accurate Guest-facing documents.
      • Create spreadsheets, word documents, and PowerPoint presentations as needed to increase productivity and refine business needs.
      • Monitor Guest and On-Trip Staff feedback and action follow-up plans with Destination Manager as needed.
      • Help with itinerary modification for existing programs, responsible for tour itinerary change management.
      • Establish consistent itinerary documentation for Marketing and Sales, website, reservations, and other partners as needed.
      • Develop appropriate job aids to complement destination operating guidelines.
      • Participate in staffing after-hours emergency phone on a scheduled basis.
      • Answer operations questions for internal partners.
      • Other tasks as required or assigned. Basic Qualifications
        • Experience working in an office environment.
        • Working knowledge of office equipment and software applications including SAP, Microsoft Outlook, Word, Excel, PowerPoint and Concur and willingness to learn new applications as needed.
        • Knowledge of the travel and hospitality industry and booking travel.
        • Excellent oral and written communication skills.
        • Recognize problems, identify possible causes and resolve routine issues.
        • Self-starter with ability to handle multiple, high priority tasks in an organized fashion within a fast-paced work environment.
          • Demonstrated experience coordinating logistics and strong implementation skills.
          • Ability to meet project deadlines and deliverables on time to ensure the project meets target deadlines.
          • Strong administrative and organizational skills.
          • Detail oriented.
          • Strong problem-solving skills and ability to multitask.
          • Ability to work on assigned projects with minimal supervision.
          • Strong interpersonal skills and ability to partner with others.Required Education
            • Bachelor's degree or equivalent work experience.#DCLPJ
